Privacy Policy
We take privacy very seriously. Therefore, at EuroPDF, we adhere to the following principles:
- We collect and process only those data that are absolutely necessary to offer our services.
- We store this data only as long as absolutely necessary and then completely delete it.
- We take all necessary security measures to prevent data from falling into the wrong hands.
- In a few areas (e.g., payment processing and hosting), data is processed on our behalf by third-party processors. We carefully select these processors and ensure they also meet the highest data protection standards. Only processors within the EU are used.
- We do not share data with third parties (except for the mentioned processors).
When does this privacy policy apply?
This privacy policy applies when you visit the EuroPDF website or use EuroPDF’s services.
If someone else processes your data and uses EuroPDF’s services in the process, we are the processor. In this case, the privacy policy of the relevant organization/person applies instead.
When and how do we process your data?
When visiting the EuroPDF website
When you visit the EuroPDF website, the specific page you requested (URL), your IP address, and the current date and time are stored in log files. These log files are deleted after 7 days (however, the files may still be present in backups for up to 60 days). We need these log files to operate our servers securely (e.g., to track data volumes and response times).
In addition, we collect the following data for statistical purposes:
- Anonymised IP address (only the first half of the address)
- Title of the page being viewed (Page Title)
- URL of the page that was viewed prior to the current page (Referrer URL - for referrers from other domains we do not store the full URL but only the domain)
- Screen resolution being used
- Time in your local timezone
- Files that were clicked and downloaded (Download)
- Links to an outside domain that were clicked (Outlink)
- Main language of the browser being used (Accept-Language header)
- User Agent of the browser being used (User-Agent header)
We explicitly do not use cookies or other technologies to track individual users across pages or visits. If you have configured your browser to send a “Do Not Track” header, no statistical data will be collected at all.
We process this usage data using our own analytics tool, Matomo Analytics, and we process the information only for statistical purposes and to improve our site.
When you contact us
If you write us an email or use the contact form on the EuroPDF website, we use the collected data exclusively to respond to your inquiry. Such email threads are deleted after 90 days (unless you become or are a customer of ours).
When creating a customer account
If you want to use EuroPDF’s services, you must create a customer account. We collect your name, contact, and billing data, among other things. We need this data to fulfill our contract with you (for example for invoicing or communication regarding the use of our services).
If you delete your customer account, we store all associated data for the duration of the respective legal retention period. Data for which there is no retention requirement is deleted after 12 months.
When using the customer area
If you have a customer account, you can use the customer area of the EuroPDF website to manage your account and contract with us, and view your usage data.
To access the customer area, you must be logged into your customer account. A session cookie is used for login and subsequent session management. If you use the “Keep me logged in” option, a persistent cookie with the login authorization is also stored in your browser.
In the customer area, we use more detailed log files, especially capturing the active customer account with each page view. These log files are retained for 90 days.
Apart from the (technically necessary) session cookie, we do not use any other cookies or tracking technologies in the customer area.
Payment data (e.g. credit card numbers) are collected and processed by our payment service provider Mollie B.V.. We do not process or store these data. We only receive information about the status of payments.
When using EuroPDF to create PDFs
The following data are processed when creating PDFs via our API:
- The source document.
- The PDF created from the source document.
- Metadata such as file size, conversion duration, the IP address from which the API was called, and any API parameters you sent.
For source documents and created PDFs, we follow particularly strict rules:
- These data are processed exclusively on servers of Hetzner Online GmbH in data centers within Germany.
- These data are not shared with other processors. (They are, for example, explicitly excluded from the data collected for application monitoring purposes.)
- Therefore, these data never leave the EU area.
- No backups are made of these data.
- Source documents are permanently deleted immediately after the PDF is created.
- PDFs are permanently deleted immediately after download (unless you have explicitly selected a longer retention period).
The metadata is used for billing and to display a log of the created documents in the customer area. These data are deleted after no more than 90 days.
We recommend to not include personal or sensitive data in the API parameters for metadata (e.g. document name for the log).
Which processors are used?
- Mollie B.V. (payment processing)
- Hetzner Online GmbH (server hosting)
- Scaleway SAS (transactional mail sending)
- Appsignal B.V. (application monitoring)
All processors are based in the EU and are therefore directly subject to GDPR. We have concluded a corresponding data processing agreement with each processor.
